Fit Bodies, Inc. is a booking agency.  We have contracted with resorts to offer qualified, certified, educated fitness and other specialized professionals to teach and train at resort facilities as independent contractors with Fit Bodies.  As independent contractors all fitness and teaching professionals acknowledge and confirm that they are not employees of Fit Bodies, Inc., its affiliates, nor the resorts.  All sports professionals acknowledge that they determine the methods, details, and means of their respective training and teaching services, and that Fit Bodies, Inc. does not control, direct, or supervise the professionals in their performance of such services.  Professionals and their traveling companions, as a condition of this agreement, shall not discuss fees or costs with any resort personnel, or guests of the resort.  All issues concerning fees, charges, accommodations, amenities, scheduling or otherwise must be directed to Fit Bodies, Inc.

On-line booking transactions for Fit Bodies Inc. are offered through Fitness Pro Travel Site. Travel program participants must maintain active and accurately updated accounts at Fitness Pro Travel to participate in the Fit Bodies, Inc. Travel Program.

Fees may vary depending upon the resort location, style, and type of physical product. All transactions are final upon receipt of fees. Certain holiday weeks are exempt from monthly specials and use of credits. Holiday weeks include Christmas, New Years, and Easter. Should a week begin, end, or include any of those holidays no specials, discounts, or credits will be accepted and rates may be higher.

Gift fees are required by all resorts. Traveling professionals may bring gifts to the resort at time of scheduled session. Value of gifts shall be $100.00 - $200.00 depending upon the resort facility. Contact should be made with the Fit Bodies, Inc. office to determine appropriate gifts. Traveling professionals may also opt to purchase gift fund for most facilities in the check out process when purchasing a specialty session. The purchase of gift fund from this website allows the accumulation of funds by Fit Bodies, Inc. to better serve the resorts through larger purchases and saves the professional gift fund taxes on arrival at destination country.

 

Waiver and Amendment.  The failure of Fit Bodies, Inc. to enforce any provision hereof shall not constitute the permanent waiver of such provision.  Any addition, deletion, or modification to this Agreement shall not be binding on either party except by written amendment executed by an authorized representative of Fit Bodies, Inc.

CHANGE OF ORDER POLICY:

If you cannot travel or need to change the dates, please contact us immediately so we can cover the vacated session.  

Changing the resort or date of travel incurs fees based upon your membership type.  Change fees includea $150 feefor free BASIC accounts, $100 for TRAVEL accounts, $75 MEDALLION accounts, and $50 for ENTERPRISE accounts.  This must be done prior to 45 days of departure.  Changes within 45 days will result in forfeiture of booking fees, refer to cancellation policy below.

CANCEL POLICY:

Travel insurance is the only way to protect your investment in Fit Bodies, Inc. purchases.

Since travel insurance is offered through Fit Bodies, Inc. via Chartis Travel Guard, cancellation of a purchased session, for anyreason, will receive no refund and no rollover.  The only exception is a purchased session cancelled within 48 hours of the original booking time.  Purchase amount will be credited for use on a future teaching vacation booking.  All account credits expire in 12 months.

RARE OCCURANCES:  There is a slight chance a resort may reach full capacity.  In this instance the pro may be moved off property. All of this is rare and typically avoided.  

Transportation will be provided when needed and all resort activities and amenities will be available to the guest fitness pros and included guests.   If you are requested to move off property for one or more nights, this is non-negotiable and your cooperation is required.   Again, this is rare and typically avoided.

If a hotel closes for any reason or Fit Bodies, Inc. is forced to move the pro’s reservation we will do ourbest to relocate the pro (and included guests) to another comparable resort on an even exchange. No refunds or credits will be issued and Fit Bodies, Inc. shall not be liable or responsible for flights purchased, changed or cancelled, nor provide alternate accommodations during the scheduled teaching vacation.  If no other teaching option is available for the same dates, the booking fee will be held as a credit for one year to use with a future teaching vacation. If the fitness pro refuses any of the alternative options provided, the pro will forfeit the booking fees paid to Fit Bodies, Inc. on FitnessProTravel.com.

Hurricane policy: No cash refunds will be offered but if a flight is cancelled or a resort is closed due to weather at the time of your scheduled trip, you may rollover your fee for another date, to be used within a 365 day period, with no penalties attached. For travel insurance we suggest Travel Guard

Purchased sessions for Fit Bodies, Inc. working vacations are subject to change of venue and cancellation. Fit Bodies, Inc. will attempt to accommodate the traveling professional should these changes be required. Fit Bodies, Inc., Fitness Pro Travel nor their partners shall be held responsible for weather, civil unrest, closures, nor acts of God that may effect Users working vacation.

High season months in the Caribbean are December-April. Christmas week along with New Year's and March Breaks are peak season. Generally these weeks are in demand and book fast. All exchange professionals requesting these weeks of travel should be aware of the following:

a. Airlines may inflate prices during high season.

b. Many resorts contracts do not book instructors during Christmas/New Yrs or March Break periods because accommodations can't be confirmed. Search schedule for availability. For new resorts however, this is not usually an issue.

c. Resorts run at full capacity and often over-occupancy during Christmas/New Yrs and March Break weeks. Some people enjoy this busy-ness others prefer going to resorts when they aren't as full.

Although uncommon there is a chance of resorts having to bumping an instructor or guests to alternate resorts (accommodations of similar standard) during periods of high occupancy. This is more common during peak weeks. If this were to occur, the instructor's privileges would not change and transportation would be included to their alternate accommodation.

Passport: Travelers must have a passport to travel to these international locations and cash for deportation tax unless included in airfare. Brazil travelers must have a passport and U.S. citizens, as well as other nationalities, must have a visa.

Traveling professionals are screened for appropriate education and credentials for specialty qualifications. Actual viewing and interview of said professionals has not been performed. Fit Bodies, Inc., their partners nor their affiliates guarantee facilities the practical performance quality beyond that of the educational organization or certification organization approval of the traveling work exchange professional

As partial consideration for accepting and processing your application and permitting the applicant to service the resort on a “guest status” assignment basis, the applicant hereby agrees to release and forever hold Fit Bodies, Inc. Fitness Pro Travel,  and their servicing partners, offices and employees, as well as the resort, it’s offices and employees, harmless for any injury, loss or harm at any time including traveling to and from, the subject resort assignment. Fit Bodies, Inc., in its sole discretion, reserve the right to limit or cancel the subject resort assignment for any reasons, and no such limitation or cancellation shall be in any way considered a breach of any contract concerning the resort assignment.

All information provided by Users via on-line form or written correspondence pertaining to the qualifications, experience, or professional specialties is sworn to be correct and current and it’s understood and agreed that Fit Bodies, Inc. and partners, vendors, agents, and representatives are relying upon the information submitted by user. Inaccurate information, intentional or not, may disqualify User from future use of the Fit Bodies, Inc. teaching exchange program as well as participation in the network. Depending upon the severity of inaccuracy for particular specialties and actions taken there after, User may be prosecuted to the full extent of the law.

Professionals are solely responsible for the performance and completion of all tasks and procedures as outlined by Fit Bodies, Inc. This shall include the prompt remittance of all information and documentation from the general information & flight form file as well as professional responsibilities while providing services at selected facility.

Resort Users are responsible to maintain accurate contact and facility information with Fitness Pro Travel its affiliates, agents, and representatives. Resort facilities must contact Fit Bodies, Inc. to have specific dates blocked out as needed. To eliminate blocked out dates resorts must provide the specific date to be blocked a minimum of six (6) months in advance.

**Fitness Professionals shall not solicit any booking with contracted resorts found within this website. Attempting to self negotiate with facilities associated with this site (found under products or 'view resorts' page) may lead to the immediate termination of the fitness professionals account and future travel.

 

Consent to Jurisdiction and Forum for Travel Program - The parties agree that any judicial action or proceeding arising in connection to and specifically with the Fit Bodies, Inc. Travel Program shall be brought and litigated exclusively in the State and Federal Courts (Kenton County Circuit Court and United States District Court for the Eastern District of Kentucky at Covington) located in Kenton County, Kentucky.  This forum selection is intended by the parties to be mandatory in nature, and the parties waive their respective rights to object to the forum.  The parties further agree and stipulate that the above State and Federal Courts have in personam jurisdiction over each of them for purposes of litigating any disputes arising out of or related to the Fit Bodies, Inc. Travel Program, and further hereby agree to and accept service of process sufficient for personal jurisdiction in either such State or Federal Court.

Governing Law – The Fit Bodies, Inc. Travel Program shall be governed by and construed in accordance with the laws of the Commonwealth of Kentucky.

Attorney Fees - In any action at law or in equity, including an action for declaratory relief, brought to enforce, construe, or interpret the terms of this Travel Program Agreement, the prevailing party shall be entitled to recover reasonable attorney fees, plus costs and expenses of such action.

By purchasing a teaching vacation session you have agreed to the terms and conditions of Fit Bodies, Inc. and its affiliates.

CODE OF CONDUCT: 

You have been selected to join an elite group of professionals in your field to bring your experience, quality and creativity to the guests of our resorts. 

Fit Bodies, Inc. fully expects visiting pros and guests to conduct themselves in a professional manner when interacting with managers, staff, and guests of the hotel.  Remember you and your guests are ambassadors of Fit Bodies, Inc.  Any problems, discrepancies, or issues that may arise, no matter how large or small, must be brought to the attention of Fit Bodies, Inc. and not resort management, staff and/or guests.  We expect only to hear compliments about you, your guests and the classes you are conducting.

 

Gift fund:  Any gift fund requirements associated with your booking are considered mandatory and non-negotiable.  Shipping your requested items is not an option.

 

Transfers:   For the resorts not including complimentary airport transportation, Fit Bodies, Inc. assists with arranging transfers through our partners. These services are always optional and you are welcome to handle your own airport transfers.  

 

Travel Guidelines: 

·         Travel is on Sundays unless otherwise noted.  Your teaching schedule is conducted on non-travel days.

·         It is VERY IMPORTANT that all pros and their companions designate “vacation”, “leisure”, or “pleasure” on all customs declarations forms.  Designating “business” or even “vacation/business” will result in immediate deportation to country of origin.

·         To travel out of your home country, you and all of your companions (including infants) must have a valid passport.

·         When traveling to tropical and temperate zones, there is inherent risk of certain tropical illnesses such as malaria, yellow fever, and certain intestinal disorders such as dysentery (aka: “Montezuma's Revenge”). It is important that you check with your local health professional and/or review the CDC website.

·         You are encouraged not to travel alone outside the security of the resorts.

 

IMMEDIATELY AFTER YOU BOOK, you are required to…

·         Review the expiration date on your passports.  Be sure they have not expired nor will they expire before your return.

·         Check your travel voucher on your account at www.fitnessprotravel.comto be certain you have booked the correct resort and dates.

·         Be sure the classes you offer meet the resort teaching requirements.  This information is located on the “Travel Spots” resort details pages on www.fitnessprotravel.com. 

·         Send your Fit Bodies, Inc. resort concierge all guest/companion information and ages.

·         Clarify gift fund requirements with your Fit Bodies, Inc. resort concierge.

·         Be sure your FitnessProTravel.com profile is complete and up to date, including photo, certifications and class formats you teach. When you book a teaching vacation, no matter what position you book, the resort receives a complete list of formats that you have set forth in your profile. You may be asked and must be ready and able to teach any of those formats.

·         Send Fit Bodies, Inc. copies of your current certifications.

·         Be excited!!

 

BEFORE YOU LEAVE, you are required to:

·         Make flyers with your picture and a general idea of the classes you will be teaching.  A template is available from your Fit Bodies, Inc. resort concierge.

·         Print out your check-in voucher from your FitnessProTravel.com account.

·         Have your gift ready to pack and be sure to put all small electronics such as cameras or ipods in your carry-on.

·         Prepare to have THE TIME OF YOUR LIFE!

 

When you arrive at your destination:

•       Be aware of guest check-in time. 

•       When you are checking in, ask for your designated contact person.  They will secure your schedule and tour the resort grounds with you.  If they are unavailable, leave a message with your room number.  If your main contact is not available you will likely meet with another staff member.  

•       Hand the gift ONLY to your designated contact on your arrival day or the next morning at the latest.  Always expect to teach the morning after you arrive.

 

Resort Expectations:

·         ENTHUSIAM – Resorts expect smiling motivated professionals who always look forward to interacting with guests and providing fun, effective and safe programming.

•       Punctuality – Arrive early and stay at least 20 minutes if no one shows.  Class minimum is 1 student.

•       Performance –Keep in mind that your professional image, expertise, energy and teaching ability will be judged by resort management and guest comment cards.

•       Appearance – Dress professionally during class time or gym time.  Resorts expect all professionals to “practice what they preach” by being healthy and fit individuals.

•       Safety – Be aware of the guest and the multilevel abilities. The sun,heat, humidity and dehydration from drinking and sunbathing can create problems if the intensity levels are too high.

•       Staff interaction – Follow directions and work well with the staff.

•       Guest interaction – Get to know the guests, promote yourself and your classes.

* Failing to comply with the Fit Bodies, Inc. Teaching Vacation Policies and Procedures can result in being removed from the hotel and billed at full cost for your stay by the hotel and termination from using our program in the future.
